1. What is a joint PhD?
A joint PhD is a doctoral degree that is prepared under the guidance of professors from two different universities (from Flanders or abroad). The PhD is only defended at one of both universities, but the PhD student will eventually be awarded a diploma by both institutions.

However, not every PhD being prepared under the guidance of professors from different universities is a joint PhD. There are specific conditions attached. The PhD student must have carried out research for a period of six months at least in the partner institution (this may be spread over several stays) and needs one member of each partner institution in his/her jury.  Furthermore, an agreement between the partner universities needs to be drafted for every joint PhD.

We speak of a joint PhD if one title is issued by both institutions (usually on one document). In a double PhD, two different titles are awarded (can be on one or two documents). To make things even more complicated, the generic terms for both types of PhD’s, is also “joint PhD”.
2. Who is eligible for a joint PhD?
PhD students who are enrolled at the UA as a PhD student, but who have carried out or will carry out at least six months of their research at another university, can establish the joint PhD procedure. These PhD students are called "outgoing PhD students”.  The UA is their home institution and they will (usually) defend their PhD at the UA as well.

In addition, PhD students from other universities who have carried out research for at least 6 months at the UA under the supervision of a UA-supervisor, can claim a joint PhD. In this case we speak of "incoming PhD students”.   

Both PhD students who have conducted 6 months of research in the partner institution and  PhD students who have yet to do so, qualify for a joint PhD and can start the application procedure for a joint PhD. The defence of the PhD must take place after the agreement is signed.
3. How to start?
The application procedure for a joint PhD at the UA:
  1. Completion of the form to start the procedure for the obtainment of a joint PhD.
  2. Drafting of an agreement (starting from the template used by the UA or the partner institution) in close consultation with the UA-supervisor, PhD student and other relevant services of the UA (e.g. interface service for IPR-issues, and diploma-administration).
  3. "Negotiation" on the details of the agreement with the partner institution.  
  4. Approval of the agreement by the faculty/department in which the PhD student wishes to obtain the PhD.
  5. Signing of the agreement.
  6. Completing the admission procedure to the PhD (for incoming doctoral students).

When the ADS gives OK, the supervisor submits the agreement for approval from the faculty board (or the department board FL&W, FWET).  

For incoming PhD students, for whom a light procedure is appropriate, the supervisor delivers extra information to support the application for the light procedure (CV, proof doctoral training at the partner institution, …).

Distributes the copies among all the parties involved

Sends an e-mail to incoming PhD student for registration at UA

For files started before May 1th, the ADS can still follow-up the complete procedure.

Step 6 could possibly run parallel with steps 2 to 5. Naturally, most outgoing PhD students will have gone through step 6 before deciding whether or not to do a joint PhD. Since the whole procedure can take a few months to complete (and sometimes longer), we ask that the form to start the procedure is sent at the latest one year before the planned defence.
4. Administrative scenario for "incoming" PhD students in the context of a joint or double PhD
Below are explained the steps incoming doctoral students must follow to be administratively in order with the UA-rules.

For outgoing students the normal UA-PhD scenario applies.

For incoming students, two procedures exist: a full or a light procedure. The faculty decides which procedure is followed. Since the faculty can also opt for a procedure that lies in between both "extremes" (the complete and the light procedure), we recommend that PhD students always check their own agreement for specifics. Questions can be directed at the central ADS coordinator.

Complete procedure (no light procedure) for incoming PhD students

Prior to the start of the joint PhD at the UA:
  1. Start up agreement
  2. Register as a PhD student

During the PhD (see also: the administrative scenario for more information on what the steps indicated below entail)
  1. Annual re-registration:  all doctoral students will be informed of this by mail
  2. Doctoral study programme (with rights and duties)
  3. Annual progress report

It can possibly be included in the agreement that the relevant UA faculty annually takes account of the progress reports from the partner institution. In that case, no separate progress reports need to be undertaken at UA.

Towards the defence (for details see: towards the defence for more information on what the steps indicated below entail)
  1. Finish doctoral study program (if not yet done)
  2. Announcing the doctorate: see step 4 of "The defence in 4 Steps" in the above link
  3. Deliver two copies of thesis to the UA library, see step 4 in the above link

After the defence:
  1. Delivery of copies of the jury deliberation to the central student administration (diploma@ua.ac.be)
  2. Awarding of the UA diploma according to the procedures provided in the agreement


Light procedure for incoming PhD students

Prior to the start of the double PhD at the UA:
  1. Start up agreement
  2. Register as a PhD student: after the approval of the agreement by the faculty/department (wait on notification from the central DOCOP-coordinator of the UA), the PhD student should present him/herself in person to the central student administration in possession of the following documents:
  • a completed and signed pre-registration:
  • ID
  • a certificate of registration in the home institution (possibly student ID)
  • a copy of the degree that allows registration for the preparation of a doctoral dissertation

During the PhD (see also: administrative scenario for more information on what the steps indicated below entail)
  1. Annual re-registration: all PhD students will be informed of this by mail
  2. Optional participation in the activities of the doctoral study programme
  3. Right to educational credits and bonus

Towards the defence (see also towards the defence )
  1. Announcing the defence of the PhD
  2. Deliver two copies of thesis to the UA library, see step 4 above link

After the defence:
  1. Delivery of copies of the jury deliberation to the central student administration (diploma@ua.ac.be)
  2. Awarding of the UA diploma according to the procedures provided in the agreement.
